A new start-up client had just achieved Series A funding and were preparing to rapidly grow their client base. Up until this point, their normal daily operating environment had been G-Suite for email and desktop productivity, Monday.com for simple project management and Slack for group and individual chat.

Challenge

While G-Suite had worked very well for them in the early start-up phase, as they grew, they began to experience problems with Google technologies, particularly relating to document management and collaboration with prospective corporate clients

a. Google Meet / Hangouts video conferencing sessions were often blocked by their prospective clients’ perimeter firewalls, creating delay and frustration

b. Google Drive shares did not work reliably, with many users losing track of important shared documents and folders

c. Senior Finance staff forced to stay with Excel due to inadequacies with Google Sheets, leading to compatibility issues

Solution

Following a review carried out by Revotek with all staff, senior management calculated that a move to Office 365 – with the collaboration features in SharePoint/Teams and extensive range of included apps like Power Automate – would result in more professional, successful internal and client interactions.

Revotek managed the migration of both email (Gmail) and core company data (Google Drive) content, making sure that staff had time familiarise themselves with the new platform and ask questions as needed.

We assisted the client in setting up Teams policies and the basic organisational teams, customising the SharePoint document libraries for each respective team. We also provided direct assistance to get personal data from Drive into OneDrive.

A general training guide was provided to all staff to ensure they understood the differences between the G-Suite approach and the Office 365 platform. We also offered direct assistance with PC, Mac and mobile devices to complete the migration project.

Outcome

The client adapted readily to Office 365 and is delighted that they can now effectively collaborate with B2B partners. They also are seeing the productivity gains that Office 365 provides over G-Suite and saving money by replacing both Slack and Monday.com at the same time.

As part of our follow up we began showing how Office 365 automation could improve productivity and team workflows. We also demonstrated how simple applications based on Teams Lists could be created to improve centralised data handling.

We are now actively involved in projects to create even more deeply embedded solutions using the full range of Office 365 apps, including Forms, SharePoint, Power Automate and Power Apps.
